Job Title: Call Center Representative
Reports to: Team Lead / Clinic Supervisor
Job Function: Answers high volume inbound calls in a timely manner and schedules appointments. Follows call center scripts while handling different topics and identifying customer’s needs. In addition, you will need to be confident, fully engaged and bring a positive outlook to work each day.

Job Duties and Responsibilities:
- Answer high volume calls and schedules appointments with minimal mistakes in
MODMED EMR.
- Verify insurance through online portals and through direct contact with the insurance
company.
- Track referrals and follow-up constantly.
- Collect payments including copays, deductibles and past due balances as needed over
the phone.
- Communicate professionally and courteously while utilizing de-escalation techniques
and remaining calm in stressful situations.
- Handle sensitive matters fast paced in a high-performance environment.
- Verify and understand all in-network or out-of-network insurance providers.
- Ability to follow HIPAA guidelines and help protect the company from HIPAA violations.
- Follow scripts, policies, and procedures accurately.
- Help provide assistance to all clerical coworkers if their workload becomes burdensome
or slows down clinic flow/patient care.
- Perform other duties as assigned.
Answering high volume calls and speaking directly to patients is top priority in this position.


Skills/Qualifications:
- One (1) year of experience in customer service or administrative support environment.
- Professionalism and effective communication skills.
- Ability to work independently and as part of a team.
- Knowledge of medical office procedures and terminology.
- Excellent Interpersonal skills an etiquette.
- Electronic Medical Records knowledge.
- Basic Microsoft and Windows PC applications.

Job Title: Surgery Scheduler


Job Function: Schedules Surgeries, MRIs/ CT, and obtains pre-certifications.
Reports to: Clinic Supervisor / Operations Manager 

Job Duties and Responsibilities:  
- Serves as main resource to Physicians for surgery scheduling.
- Schedule Surgeries, Post-Op Appts, and any diagnostic images ordered by provider.
- Verify insurance and obtain pre-cert when needed for all procedures and diagnostics.
- Coordinates efforts with Medical Assistants, Physician Assistants, Nurse Practitioners and Physicians. 
- Coordinate efforts with hospitals and imaging facilities.
- Maintains Physicians surgical calendar. 
- Communicates information to patients/families.
- Ensures all required DME is ordered for surgeries and recorded and documented.
- Ensuring all pre-op blood work and other tests ordered before surgery are received and given to the correct facility and/or persons; coordinating with hospitals, anesthesia groups, therapy, reps, or other allied health professionals as needed.
- Answering phone calls; sending appropriate tasks and messages to correct co-workers.
- Managing paperwork related to surgery consents. Obtaining medical history and information from patients to assist in the surgery scheduling process.
- Follow up with facilities the day before surgeries is scheduled to ensure the facilities have everything needed for surgeries. 
- Collects payment from patients prior to surgery as required by OSD policy.
- Collecting payment for DME.
- Inform patient regarding an AS during surgery; put account notes in the system regarding verification of an AS.
- Track and log all surgeries and diagnostics to ensure coworkers and or management has the ability to assist as needed.

Skills/Qualifications: 
- Two (2) years of experience in a medical office setting.
- Knowledge of medical terminology.
- Excellent organizational skills.
- Ability to work independently or as part of a team.
- Previous ERM experience.
- Basis Microsoft and Windows PC applications.
- Strong team orientation and customer service.
- Previous procedure scheduling and authorization experience preferred.

Job Title: Medical Front Office – Check-In / Check-Out
Job Purpose: Responsible for interacting with patients on the phone and in person. Coordination of appointments, administrative tasks, explanation of forms and processing payments in a healthcare setting. The Front office facilitates a smooth-running environment and supports the delivery of quality patient customer service.
Reports to: Office Lead / Clinic Supervisor / Operations Manager

Job Duties and Responsibilities:

- Greeting patients professionally in person and on the phone. Ensure to utilize de-escalation techniques and remain calm in stressful situations.
- Handle sensitive matters in a fast paced, high-performance environment.
- Check-In and Check-Out patients while entering efficient and correct information. 
- Verify insurance online and through direct contact with insurance companies. 
- Track referrals and follow-up as needed with the referral team.
- Collect payments including copays, deductibles, and past due balances.
- Follow HIPAA guidelines and help protect the company from HIPAA violations.
- Adherence to quality standards and proper procedures for front office.
- Resolve patient complaints and/or answer patient’s questions regarding policies and procedures.
- Schedule appointments in electronic medical records system.
- Answering phones as needed.
- Assist verification team with auditing superbills daily as assigned.
- Work task messages and no-show appointments daily and or assigned.
- Work in a cohesive team environment and provide assistance to co-workers when their workload becomes burdensome or slows down the flow of the front office check-in and check-out desk,
- Perform other duties as assigned.
